REFUND POLICY
1. Introduction
This Refund Policy outlines the conditions and procedures for obtaining refunds or rescheduling in connection with driving experience events offered by Race Competitions (“we,” “us,” or “Organiser”). It is an integral part of our Terms of Service and is designed to provide clear, unambiguous guidelines. By purchasing a voucher or booking an event with us, you (“participant” or “customer”) acknowledge that you have read, understood, and agree to this Refund Policy. This Policy is intended to be comprehensive and leave no room for alternative interpretation, ensuring both clarity and fairness in all refund-related situations.
This Refund Policy does not apply to our Private Circuit Hire or Bespoke Corporate Events, as these services are governed by separate agreements. For such events, a custom contract will be issued outlining specific cancellation, refund, and rescheduling terms, which will take precedence over this policy.
2. General Refund Conditions
Participant Cancellations (Customer-Initiated): If you choose to cancel your booking, refunds or rescheduling options vary depending on the product booked and the amount of advance notice given before your scheduled event date. You must inform us of your cancellation request (preferably in writing via email or our contact form) so we can record the date of your request. Refund eligibility is determined as follows:
'Stint' Products: We do not offer refunds for our 'Stint' products in the event of a customer-initiated cancellation. However, you are entitled to one free reschedule if you provide at least 30 days’ notice before your scheduled date. If you cancel within 30 days of your booking date, we may charge a rescheduling fee at our discretion, based on costs we incur.
Full-Day Experiences: If you have booked a full-day experience, the first £750 of your purchase is strictly non-refundable under all circumstances, including customer-initiated cancellations. This is because we incur costs to secure your booking. However, if you cancel more than 30 days before your scheduled event, you may receive a refund of any amount paid above the non-refundable £750. If you cancel within 30 days of your full-day experience, no refund will be issued. Rescheduling a full-day experience in any circumstance, regardless of notice period given to us by you, may result in a rebooking fee at our discretion, based on costs incurred by us.
Please note: The refund timelines above apply only to the core event participation fees. Optional add-ons and extras (such as damage waivers or media packages) are subject to separate non-refundable terms (see Section 5 below). If you cancel your event booking, any eligible refund will exclude non-refundable items or fees as defined in this Policy.
Organiser Cancellations (Company-Initiated): In rare cases, we may need to cancel or postpone an event due to circumstances beyond our control or for safety and operational reasons (for example, extreme weather, venue issues, insufficient registrations, or other unforeseen events). In such an event, we will notify you as soon as possible. In the case of an Organiser-initiated cancellation or substantial change:
We will first make reasonable efforts to reschedule the event or offer you a placement in an equivalent event of equal value. We will work with you to find a suitable new date.
If rescheduling is not possible or you cannot attend the rescheduled date, you are entitled to a full refund of your event booking fee (100% of what you paid for the event participation). We will process this refund promptly upon confirmation that rescheduling cannot be accommodated.
These remedies (reschedule or full refund) are the sole options available for Organiser cancellations. We regret that we cannot cover any additional expenses you may have incurred in preparation for the event (such as travel or accommodation), as further detailed in Section 6.
3. Vehicle Unavailability Before Scheduled Drive
We strive to provide the exact vehicle and experience you booked. However, if your designated vehicle becomes unavailable on or before your scheduled drive for that event day (for example, prior to you getting behind the wheel) due to certain issues, the following specific policies apply:
Damage by Another Customer: If the vehicle you were scheduled to drive is rendered unusable because another customer/participant caused damage to it earlier on the event day (before your session), we will not issue a refund for your booking at that time. Instead, you will receive a free rescheduling of your drive in the same vehicle (or an equivalent vehicle) on a future date of your choice. Any damage waiver you purchased for the original booking will carry over to the new date so you won’t have to purchase it again for the rescheduled session. As a gesture of goodwill for the inconvenience, we will also provide you with a complimentary upgrade to enhance your rescheduled experience. This upgrade may be in the form of a free passenger ride session in one of our performance vehicles, a professional photo package of your experience, or an onboard video recording – at no additional cost to you (we will inform you of the available upgrade options so you can choose one). This way, while a refund is not offered in this scenario, you will still get the full experience on a new date, plus an extra benefit for the trouble.
Mechanical Breakdown on Event Day: If the vehicle you are scheduled to drive suffers a mechanical failure or breakdown on the event day before you have had your drive, the same policy as above will apply initially. We will not issue an immediate refund for the day of the breakdown; instead, we will promptly arrange a free rescheduled drive for you. Your booking will be moved to a new date, and any pre-purchased damage waiver will remain valid for that new date. We will also extend a complimentary upgrade (such as a passenger ride, photo package, or onboard video, as described above) on your rescheduled date to compensate for the inconvenience. If, however, a mechanical breakdown (or similar vehicle failure) prevents your drive on the rescheduled date as well, you will have the option to receive a full refund of your event booking fee upon request. In other words, after a second failure affecting your drive, we will honor a complete refund if you prefer not to attempt another reschedule. This two-strike policy ensures you are not left indefinitely waiting for a successful drive. (Note: If a suitable alternative vehicle is available on the original event day, we may offer you the choice to drive a different vehicle instead of rescheduling, but you are not obligated to accept a substitution. The free reschedule with upgrade remains your guaranteed remedy if your originally booked car isn’t available due to breakdown.)
4. Voucher Refund Policy
We offer vouchers for our experiences, and their refund terms are as follows to ensure clarity and cover our costs:
30-Day Refund Window: If you purchase a voucher from us (either for yourself or as a gift), you are entitled to a full refund of the voucher’s purchase price for up to 30 days from the date of purchase, provided the voucher has not yet been redeemed against a booking. To claim this refund, you must contact us within this 30-day window. We will then cancel the voucher and refund the original purchaser via the original payment method.
After 30 Days or Once Redeemed – Non-Refundable: After the initial 30-day period has passed, the voucher becomes non-refundable. Once a voucher is redeemed against a specific event date, the cancellation and rescheduling policies outlined above apply.
Our vouchers remain valid for 365 days from purchase for you to redeem against an experience date, and we may offer an extension for a fee if it expires unused, but refunds are not available past the conditions above.
5. Non-Refundable Items
Certain add-on products or services associated with your booking are non-refundable under this Policy, due to the nature of those products and the costs involved. These include:
Damage Waivers: Any Damage Waiver (sometimes called collision damage waiver or insurance option) purchased for an event is non-refundable in all circumstances from the moment of purchase. This means that once you have bought a damage waiver for your drive, it cannot be cancelled or refunded, regardless of whether you actually use it or whether your event is cancelled or rescheduled. The damage waiver provides immediate coverage for potential damages from the time of purchase and triggers administrative and insurance arrangements, hence it is treated as a final sale. (If your event is rescheduled as per Section 3, your damage waiver will simply transfer to the new date rather than being refunded.)
Optional Upgrades (Photos, Videos, Passenger Rides): Optional add-ons such as professional photography packages, onboard video recordings of your drive, and passenger ride sessions are refundable only within 30 days of purchase or until the service is rendered, whichever comes first. This means:
If you purchased an upgrade (for example, a photo or video package) and later decide you do not want it, you may request a refund within 30 days of the purchase date as long as the service has not yet been provided. For instance, if your event is still many weeks away and you bought a photo package today, you have up to 30 days to change your mind for a refund on that package.
After 30 days from the purchase date, or once the service/product has been delivered (whichever happens earlier), the upgrade becomes fully non-refundable. In practice, this means if the event day comes sooner than 30 days and you have already received the service (e.g., you took the passenger ride or the photos/videos were provided), you can no longer get a refund on that upgrade even if it’s within the 30-day window. Conversely, if more than 30 days have passed since you bought the upgrade and the event is still upcoming, the refund option closes at the 30-day mark even though you haven’t received the product yet.
In summary, damage waivers are never refundable after purchase, and optional add-on packages are only refundable for a limited time (30 days or until used). Please consider your selections carefully at the time of purchase. If you are unsure about an upgrade, it may be better to decide closer to the event (if timing allows) because once the above conditions are met, we cannot make exceptions.
6. Additional Terms
Policy and Terms of Service: This Refund Policy is a part of and supplements our broader Terms of Service. In the event of any conflict between this Refund Policy and the general Terms of Service, the terms most specific to the situation (usually this Refund Policy for refund-related matters) will apply. All participants are also subject to any other applicable event terms and conditions. This Policy is governed by the applicable laws of the jurisdiction of our operation. Governing Law: For clarity, our services and this Policy are governed by the laws of England and Wales (as our base of operations is in the UK), or as otherwise specified in our Terms of Service. By agreeing to this Policy, you consent to the exclusive jurisdiction of those laws for any dispute arising from or related to these terms.
Limitation of Liability (No Further Liability): Except for the specific remedies expressly provided in the sections above (such as refunds of the paid fees or free rescheduling where applicable), Race Competitions Ltd shall not be liable for any additional compensation, damages, or consequential losses resulting from cancellations, rescheduling, or other changes to your event. The extent of our liability is strictly limited to the amounts and options outlined in this Policy. For example, if we must cancel an event or a vehicle is unavailable and we provide a reschedule or refund per this Policy, we will not also be responsible for any other costs you may have incurred related to the event. This includes, without limitation, any travel or accommodation expenses, loss of income, or any other indirect costs or damages. By booking with us, you acknowledge that your sole remedies in such situations are those stated in this Refund Policy, and you waive any right to seek additional claims or compensation beyond what is provided here. We encourage all participants to consider travel insurance or refundable travel arrangements if concerned about the possibility of event changes, as we cannot cover those external costs.
Requesting a Refund or Reschedule: To initiate any refund request, cancellation, or reschedule as covered by this Policy, you must contact our customer support so that we can guide you through the process. All requests should be made in a timely manner and, when possible, in writing (email is preferred for documentation). You can reach us via the Contact Us page on our website or by emailing our support team. Alternatively, you may call our Customer Support at 0113 403 5225 during our business hours (Monday–Friday, 8:30 AM to 5:30 PM GMT). We will respond promptly and provide instructions for next steps (such as confirming your cancellation and processing any applicable refund). Please note that refunds (when approved under this Policy) may take a few business days to be processed and appear in your account depending on your original payment method and financial institution. We process refunds via the original payment method whenever possible.
No Waiver of Terms: Strict enforcement of these refund terms is necessary to ensure fairness and consistency to all participants. Failure by us to enforce any provision of this Refund Policy in isolated instances (for example, if we make a one-time exception for a customer in extraordinary circumstances) shall not constitute a waiver of our right to enforce the same terms for everyone else. We reserve the right to decline any refund or accommodation not explicitly outlined in this Policy.
Severability: If any part of this Refund Policy is found to be unlawful or unenforceable by a court of competent jurisdiction, that provision shall be interpreted in a manner consistent with applicable law to reflect, as closely as possible, the original intentions of the parties. The remaining provisions of the Policy shall remain in full force and effect.
By submitting a booking or purchasing a voucher, you confirm that you have read this Refund Policy and agree to its terms.
